Cancellation Policy

We know plans change. This policy explains what happens if you need to cancel, and what we do if a retreat can’t go ahead. It applies alongside our terms & conditions.

Deposits

Your deposit secures your place and is non-refundable. It reserves a spot in a deliberately small group, which we then hold for you.

Paying the balance

The balance is due 6 weeks before the retreat. If it isn’t paid by then, we may release your place, and the deposit is not refunded.

If you need to cancel

Once you’ve been offered and accepted a place, the following applies based on how much notice you give before the retreat start date:

  • 60 days or more: full refund of everything paid except the non-refundable deposit.
  • 30–59 days: 50% of the balance refunded; the deposit is not refunded.
  • Fewer than 30 days: no refund, as we’re unlikely to fill the place at short notice.

Transferring your place

If you give us at least 30 days, you may transfer your place to a future edition once, subject to availability and any price difference. You’re also welcome to pass your place to someone else who’s accepted through our usual application process.

If we cancel or postpone

If we cancel a retreat, you’ll receive a full refund of everything you’ve paid to us, including the deposit. Or, if you prefer, a transfer to a future edition. We’re not responsible for other costs you may have incurred, such as flights or accommodation, which is why we ask everyone to hold travel insurance.

If we remove you from a retreat

If we have to remove you from a retreat for breaking our code of conduct, including the use of drugs or alcohol, or any form of harassment or abuse, no refund is given. This is set out in our terms & conditions.

Travel insurance

Please take out travel insurance with cancellation cover as soon as your place is confirmed. It’s the best protection for both of us if something unexpected comes up.

Events beyond our control

If a retreat is disrupted by events beyond our reasonable control (for example extreme weather, natural events, or travel restrictions), we’ll do our best to offer a transfer or credit to a future edition where we can.

To cancel or transfer, email us at reps@repsretreat.com. The date we receive your email is the date we use to work out any refund.
