Terms & Conditions
Last updated: 11 June 2026
These terms apply when you apply for, book, or attend a REPS retreat. Please read them. By submitting an application you confirm you accept them. They’re written plainly; if anything is unclear, email us at reps@repsretreat.com.
Who we are
REPS retreats are run by Reps ehf., a company registered in Iceland under kennitala 430626-1320, based in Reykjavík.
Booking your place
Places are offered by application, not open checkout. When you apply, we review your application and, if it’s a fit, offer you a place. Your place is only confirmed once we’ve made that offer and received your deposit, at which point a contract is formed between you and Reps ehf. on these terms.
Prices and payment
- Prices are shown on the relevant retreat page, in GBP.
- A deposit of £500 secures your place.
- The remaining balance is due 6 weeks before the retreat begins.
- The price covers what’s listed under “what’s included” for that retreat. Travel to and from Iceland is not included.
If we don’t receive the balance by the due date, we may treat your place as cancelled (see the cancellation policy).
Health, fitness and participation
The retreat includes a guided heat ceremony, hiking, and other physically demanding outdoor activities. By taking part you confirm that you are reasonably fit to participate and that you’ve told us about any health condition, injury, pregnancy, or medication that could affect your safety. You agree to follow the guidance of our facilitators at all times.
For your safety we may ask you to sit out particular activities, and in rare cases decline or end your participation. You take part in all activities voluntarily and at your own risk.
Insurance
You must have your own travel and medical insurance for the trip, including cover for cancellation. We strongly recommend arranging it as soon as your place is confirmed.
Changes or cancellation by us
We may need to make reasonable changes to the schedule, location, or facilitators, the spirit of the retreat will stay the same. If we have to cancel a retreat, you’ll be refunded as set out in the cancellation policy.
Cancellation by you
If you need to cancel, our cancellation policy sets out what happens.
Conduct
REPS is a small, shared space built on trust, and everyone in it deserves to feel safe.
Our retreats are alcohol-free and drug-free. We don’t permit alcohol, recreational drugs, or any other intoxicating substances at any point during a retreat. The work we do together is sacred and asks you to be fully present, for yourself and for everyone around you. Prescribed medication is of course fine; just tell us about anything we should know during the medical screening before your place is confirmed.
We have zero tolerance for any form of sexual harassment, intimidation, or abuse.
We may ask someone to leave a retreat immediately, without refund, if they use alcohol or drugs during a retreat, or if their behaviour is unsafe, threatening, harassing, or seriously disruptive to others. Any costs of leaving, including onward travel and accommodation, are their own.
Our responsibility to you
We take your safety seriously and will run the retreat with reasonable care and skill. To the extent permitted by Icelandic law, we are not liable for losses outside our reasonable control (such as travel disruption, weather, or events beyond our control), or for indirect losses. Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for anything that can’t be limited by law.
Photography
We offer professional photography during the retreat, so you go home with beautiful images of your experience. It’s part of what your place includes.
Being photographed is completely your choice. If you’d rather not be in photos, just tell us, and that’s totally fine. No one is ever pushed or made to feel awkward about it, and we’ll make sure our photographer knows.
Using your images is a separate choice, and it’s also yours to make. We’ll only use photos of you in our own marketing, such as social media, our website, or advertising, if you’ve given us clear permission. You can say yes to some uses and no to others, and you can change your mind. We’ll ask you directly so your preference is on record.
The sweat lodge ceremony itself is never photographed or filmed, by us or by anyone. That’s part of keeping it sacred.
Your privacy
How we handle your personal data is set out in our privacy policy.
Governing law
These terms are governed by the laws of Iceland, and any disputes will be subject to the jurisdiction of the Icelandic courts.
Changes to these terms
We may update these terms from time to time. The version that applies to your booking is the one in place when you applied.
